The Hidden Cost of Copy-Paste Work Across Sales and Marketing Teams

My company has three products and about two services we offer to customers. It does not sound like too much information.
But now try to use this information every day:
- Register the company in a new partner portal.
- Send an inquiry.
- Publish an advertisement.
- Complete a supplier questionnaire.
- Participate in a tender.
- Prepare information for a potential customer.
Every portal asks for company details, product descriptions, service descriptions, security information, policies, usage examples and contact information.
And basically this information never changes.
All day copy and paste
When we participate in a tender, we have to fill out tons of information:
- Company description.
- Product descriptions in different lengths.
- Service delivery models.
- Information from IT security documents.
- Company policies.
- Product usage examples.
- Technical requirements.
- Data-processing information.
The same happens when we publish ads or register our products in company portals.
That turns routine work into a familiar loop:
- Open one document.
- Find the correct paragraph.
- Copy it.
- Open another browser tab.
- Paste it.
- Then find a shorter version because this portal accepts only 300 characters.
- Then find the Spanish version.
- Then return to the security document because the next field asks how customer data is handled.
Basically, all day copy and paste.
The problem is not only the time spent pressing Ctrl+C and Ctrl+V.
The real problem is finding the correct information.
Your company description can exist in five different documents. Your product description can have versions containing 80, 160, 300 or 500 characters. Your security answers can be located inside policies, tender documents, old questionnaires or emails.
After some time, nobody remembers which version is current.
- Sales uses one description.
- Marketing uses another.
- Management has a third version.
- And somebody pastes information from a document created two years ago.
We automate customer processes but could not automate our own
Finally, I became angry. We help customers facilitate their processes and automate repetitive work. But we could not do it for ourselves.
Our work includes:
- Moving data from one system to another.
- Building integrations.
- Automating repetitive business operations.
- Applying AI where it is actually required.
But inside our own company, we were still opening documents and copying the same information manually into browser forms.
This is how TrustPaste started.

Meet TrustPaste
TrustPaste is a completely free, open-source extension for Chromium browsers.
It allows you to keep reusable company, product and service information in a structured JSON profile and insert the required value directly into the web form you are completing.
You select a field, open TrustPaste, search for the required information and insert it.
Nothing is inserted until you choose the value.
For example, your profile can contain:
- Company descriptions in different lengths
- Product and service descriptions
- English and Spanish versions
- Security and privacy information
- Standard tender responses
- Product usage examples
- Delivery stages
- Industry use cases
- Contact information
- Frequently reused technical explanations
The extension searches through paths, keys and values. It can also consider favorites, recently used entries, the selected language, field context, scope and character limits.
Instead of searching through documents and browser tabs, you search one local profile.
Your business information stays in your browser
“Do I really want to upload all my company information to another online service?”
No. This was one of the main reasons we built TrustPaste differently.
TrustPaste is designed to work without:
- An account
- A server
- Cloud synchronization
- Telemetry
- Analytics inside the extension
The imported profile, preferences, favorites and recent paths remain in the local storage of your browser profile. TrustPaste also has no host permissions, so it cannot access a page until you explicitly invoke it.
It also does not automatically submit forms, accept terms, solve CAPTCHAs or click final submission buttons. You remain responsible for checking the information and submitting the form yourself.
This is not automatic form submission. It is a faster and more controlled way to insert information you already maintain.
Why not use normal browser autofill?
Browser autofill is useful for names, addresses, phone numbers and payment details.
That is not the problem TrustPaste solves.
Business forms ask for much more complicated information:
- Describe your company in 160 characters
- Explain your service-delivery model
- Provide a product-use example
- Describe your information-security controls
- Explain how you support customer data residency
- Provide a short marketing description
- Provide a detailed technical description
- Explain your implementation process
- Describe the limitations of your product
Traditional autofill is not designed for this.
TrustPaste is designed for structured business information that needs to be reused across many different forms.
The extension supports normal text, URL, email, telephone, search and number fields, as well as text areas and editable content areas. It deliberately refuses sensitive or inappropriate field types such as passwords, payment fields, hidden inputs, file uploads and submission buttons.
Useful for Sales
Sales representatives repeatedly enter the same information into:
- Partner portals
- Vendor-registration systems
- Procurement platforms
- Customer questionnaires
- Contact and inquiry forms
- Tender platforms
- CRM-connected web forms
A sales representative should be speaking with customers.
Not searching through ten documents to find the approved 300-character company description.
Useful for Marketing
Marketing teams publish similar information across:
- Advertising platforms
- Business directories
- Event portals
- Marketplace listings
- Partner websites
- Campaign forms
- Product-submission portals
The wording may need to be short, long, technical, commercial or translated.
But most of the source information already exists.
TrustPaste makes these approved versions searchable from the form where they are needed.
Useful for management
For C-level personnel, the pain is different. It is not only the number of forms; it is the interruption.
You open a portal to complete one registration and discover that it requires:
- Company history
- Service descriptions
- Compliance information
- Revenue details
- Ownership information
- Multiple product summaries
Now you have to stop what you are doing and:
- Search for every answer.
- Ask somebody else.
- Send the portal to three different employees.
A simple registration becomes a small internal project.
TrustPaste cannot answer questions your company has never documented.
But when the answer already exists, it helps you find and reuse it in seconds.
It is free and open source
TrustPaste is available from our public GitHub repository.
The source code can be reviewed, modified and adapted to your own requirements. The current version can be installed manually in Chrome, Chromium, Brave or Microsoft Edge using the browser’s Load unpacked option.
The user manual explains installation, JSON-profile import, searching and inserting a selected value into a form.
We created it because we needed it. Now anybody can use it.
TrustPaste is a small example of a bigger problem
TrustPaste solves one particular pain point. But the important part is how the pain point was found:
- People inside the company were performing the same operation every day.
- The information already existed.
- The destination systems were different.
- The work required almost no decision-making.
- But it consumed time and created opportunities for mistakes.
This is exactly the type of process we look for when working with customers.
Sometimes the solution is:
- A small browser extension
- An integration between two systems
- A workflow that reads information from one application, validates it and moves it into another
- Document classification or transformation
- AI — or no AI at all
The purpose is not to add another complicated platform.
The purpose is to find where people repeatedly move, search, reformat or re-enter information and remove that work.
